Sports Management and Event Organisation
Why manage sports?
Well-managed sports events promote talent, teamwork, discipline and health. Kenyan examples include school ball games under KSSSA, KICOSCA competitions, athletics meets and county tournaments.
Planning
- Set the aim (talent identification, fun, fundraising).
- Choose the date, venue and type of competition.
- Form committees.
- Prepare a budget.
- Seek permission from school management or authorities.
- Publicise.
Organising committees
- Chairperson/coordinator: oversees all.
- Secretary: records, invitations.
- Treasurer/finance: budget and receipts.
- Technical committee: fixtures, officials, rules.
- Welfare/first aid: injuries, water, meals.
- Publicity: posters, social media.
- Security and discipline.
- Awards: trophies and certificates.
Competition formats
- Knockout: loser is eliminated. Matches = n - 1. Byes are needed if teams are not a power of 2.
- League (round-robin): every team plays every other. Matches = n(n - 1)/2 (single round).
- Combination: league stage then knockouts.
- Seeding: separates the strongest teams early on.
Worked example: 12 teams in one round-robin: 12 x 11 / 2 = 66 matches. For knockout: 11 matches.
Fixtures
List teams, pair them, assign times and venues, and publish early. Allow rest between matches.
Budget
Income: registration fees, sponsors, gate collections, donations. Expenses: equipment, referees' allowances, medical supplies, prizes, transport, refreshments.
Example: Income KES 60,000; expenses KES 52,000; surplus KES 8,000.
Officials
Referees, linesmen, timekeepers, scorers and match commissioners must know the rules and be fair. Respect for officials is part of sportsmanship.
Safety and risk management
- Inspect the field and equipment.
- Provide first aid kit, trained personnel and an ambulance contact.
- Ensure drinking water and shade.
- Adhere to Ministry of Education safety guidelines.
- Have a plan for bad weather and crowd control.
Inclusion and fair play
Provide equal opportunities for girls, learners with special needs and all communities. Promote anti-doping messages and respect.
Evaluation
After the event, review: Were objectives achieved? Were budgets balanced? What went well and badly? Collect feedback, write a report and thank sponsors.
Careers
Sports management, coaching, referee, physiotherapy, sports journalism, event planning and sports marketing.
